Running an Effective HOA Board Meeting

HOA meetings have a reputation for being long, unproductive, and sometimes heated. They don't have to be. Here's how to run meetings that respect everyone's time.

Before the Meeting

Set a Clear Agenda

Distribute the agenda at least 48 hours before the meeting. Include:

  • Old business (follow-ups from last meeting)
  • Financial report
  • New business items
  • Open forum (time-boxed)
  • Prepare Your Financial Report

    Come with numbers ready. Homeowners want to know where their money goes. A one-page summary beats a 20-minute verbal walkthrough every time.

    During the Meeting

    Start and End on Time

    Nothing erodes trust faster than meetings that start 20 minutes late and run an hour over. Set a hard start time and a hard end time.

    Use Roberts Rules (Loosely)

    You don't need to be a parliamentarian, but basic structure helps:

  • Motions need a second before discussion
  • Vote on motions before moving to the next topic
  • Record all votes and decisions
  • Manage the Open Forum

    Give each speaker a time limit (3 minutes is standard). Thank them for their input, note it for the record, and move on.

    After the Meeting

    Distribute Minutes Promptly

    Send meeting minutes within 48 hours while everything is fresh. Include:

  • Attendees
  • All motions and vote results
  • Action items with owners and deadlines
  • Follow Through on Action Items

    The fastest way to lose homeowner trust is to promise action and not deliver. Track action items and report on them at the next meeting.
